WOODBRIDGE, NJ KEEPS UP WITH THE TIMES

Township simplifies network, cuts costs with Avaya Aura® 7 and Pod Fx

Woodbridge, New Jersey has been a township for longer than the United States has been a country. From when it was formed in 1669 by an order from King Charles II of England, the town has grown from a local hub of brick manufacturing into a bustling center of industry and commerce.

Today, Woodbridge is the fifth-largest township in New Jersey, with some 100,000 residents and a municipal budget north of $150 million. Large corporations like Siemens, Prudential and Hess are among hundreds of companies operating in the township.

Over the years, growth in the town’s economy raised demand for municipal services — local government, public safety and the school district — and put pressure on the town’s communications infrastructure, which over time became increasingly complex and costly to maintain. Michael Esolda, the township’s chief information officer, wanted to bring the town’s disparate municipal functions onto the same network, with a scalable, all-inclusive solution for voice, video and data collaboration.

“Ten years or so ago, we needed to look at our long-range plans,” Esolda says. “We decided to aim for a shared service environment.”

After considering multiple proposals, the Woodbridge IT team chose to move the town to Avaya Aura 7.0 running on an Avaya Pod Fx server. This strategic move achieved Esolda’s goal of bringing everything and everyone working for the town onto one homogeneous network environment.

“We are a shared service leader in the state,” Esolda says. “We have a centralized network operations center that deploys voice, data and video for 52 buildings, so all of our town, school, and police are connected — all our schools and 911 are directly connected to this network operations center.”

Avaya solutions provide the town with three significant benefits: dramatically reduced costs due to a greatly simplified network; availability of popular applications like video conferencing; and a clear upgrade path as the town transitions from digital endpoints to VoIP.

By moving to Pod Fx, the town was able to retire a litany of old, single-purpose servers that required electricity, floor space, HVAC, and maintenance — all entailing expense for the township.

Avaya Pod Fx provides centralized network management with virtual compute processing and storage in a single contained rack. Leveraging VMware Hypervisor technology and Avaya’s industry-leading network virtualization technology, Pod Fx can deliver a 50% savings versus comparable alternatives.

“Moving to a cloud-based, premise solution has helped us with scalability and cost reduction,” Esolda says. “We have maintenance that is more affordable. We are bringing a better, more reliable product at a lower cost point.”

CHALLENGES

  • Balkanized network with separate services for different towns
  • High maintenance costs
  • No video conferencing
  • No clear upgrade path to VoIP

VALUE CREATED

  • Maintenance costs cut significantly
  • Video conferencing enabled
  • Upgrade path to VoIP established

The new Avaya package is helping the school district save $70,000 a month in reduced maintenance and usage costs, enough to allow it to underwrite the cost of a private fiber network connecting it with the town’s other offices and provide funds for other priorities.

“We are using that cost savings from Avaya to help in other areas, whether they are senior centers, new schools, performing arts center — all of them have the Avaya component that allows us to be ‘10 towns/one community’,” Esolda says.

The upgraded environment includes Avaya Scopia video conferencing, which provides high-definition voice, video and data collaboration across multiple devices. So far, the town uses it to support consultations among school principals, community advisory panels, the Emergency Operations Center, and recently ‘active shooter’ training. Scopia video conferencing allows for quick decision-making on days that involve heavy snow fall.

The fact that Aura 7 supports a range of endpoints – from digital to VoIP – gives the town a way to upgrade its communications infrastructure at its own pace, as budgets allow.

“Technology now has really helped a lot of our growth and development,” Esolda says. “Corporations want to come do business in Woodbridge.”
