Holmgrens Bil is expanding at speed – acquiring new car dealerships to add to its existing portfolio. With Avaya IP Office, Holmgrens now has the scalable communications platform it needs to support that strategy, while streamlining and consolidating its existing operations.

With some 15 dealerships in the Småland region, Holmgrens Bil is one of Sweden’s most successful motor dealers, and in recent years it has followed a strategy of growth by acquisition. Back-office functions are centralised – delivering operational efficiencies – while the group reputation drives sales.
 
For this strategy to work, new acquisitions need to be brought on-stream quickly, and the customer experience must be consistent, no matter which branch is contacted. To help enable this, Holmgrens wanted to replace its mix of legacy communications solutions with a single, scalable and modern IP network. It opted for Avaya IP Office.

Instant impact

The solution was proposed by a local Avaya Business Partner, and from the start the customer was impressed. Not only did IP Office offer the platform for growth that Holmgrens needed – up to 2000 users, or essentially quadruple the current size of the business – but it also met other goals.
 
“At the first demonstration, it was clear that IP Office had many of the features we wanted built-in,” recalls IT Manager Mogens Jensen. “It also offered flexibility: we own over 300 DECT phones that we wanted to keep using. With the Avaya solution, that wasn’t a problem – protecting our existing investment.”
 

Rapid implementation

Implementation began in January 2013 and was completed by the end of April. Jensen describes the process as “quite flawless.” All sites were connected to the IP Office Server Edition deployed on an HP server at Holmgrens’ head office. An IP Office IP500 functions as the media gateway and the whole infrastructure is replicated, so there’s no single point of failure.
 
The benefits were immediate. Jensen is delighted with the central management functionality: “there’s no need for one of my team to travel 100km to make a small change now” and the company is seeing savings by dealing with just one service provider instead of having multiple contracts.
 
A single solution also means improved management information: “for the first time, we’ve been able to track how many calls we miss across the business. We’ve used that to adapt switchboard working hours so we have more cover at the busiest times.”

Meeting user needs

IP Office has been a real success with business users too. “Everyone I’ve spoken to is positive about the new IP Office system,” Jensen confirms. “They particularly like the click-tocall functionality and increased call management capabilities.” Switchboard operators can see on-screen whether colleagues are available, and integration with Enghouse Interactive Vision 80/20 software provides advanced voicemail messaging that meets local regulatory requirements.
 
To improve customer service, most executives also have “mobile twinning” enabled: this means an incoming call rings on both their mobile phone and their Avaya desktop phone simultaneously, resulting in no lost calls.
 
Above all, the successful rollout gives Jensen and his team complete confidence that the solution can be swiftly extended to new sites. With two dealerships already required, it’s clear that’s going to be essential.
