GRIMALDI LINES UPDATES ITS COMMUNICATIONS INFRASTRUCTURE

Grimaldi Lines lacked a communications infrastructure for voice and data at its terminal in Valencia to provide technical support to its growing business. With Avaya, the company has deployed a solution that has not only enabled significant savings, but which is also driving the company’s business due to its impact on productivity.

 
Founded in 1947, Grimaldi Lines began its activities with the transportation of goods, becoming an international leader in Ro/Ro transportation, and has transported more than 2.8 million cars and 1,434,000 trailer and container units.
 
In addition, the Grimaldi Group is active in passenger transportation in the international maritime field, thanks to the nearly three million passengers who have turned it into a leader in the transportation category, the “highways” of the Mediterranean.
 
With head offices in Naples (Italy), the group has 53 branches worldwide, including Barcelona and Valencia, along with an office in Madrid, employing 7,800 people including crew.
 
The Grimaldi Group has been in Valencia since 1999, where it operates its own terminal, Valencia Terminal Europe, at the East Dock. With an area of 170,000 square meters and a wharf of 1,400 meters with direct access to the railway line, the terminal is dedicated to handling car, RORO cargo and passenger traffic with an emphasis on unregistered new vehicles from manufacturers such as Ford, Fiat, Opel,Peugeot and Renault. Grimaldi also operates from the port of Sagunto, under the Port Authority of Valencia, where the export of new vehicles is their main activity.

Need for Integration

The communications technology used in Valencia could not provide adequate service to support the marketing and commercial activity of the shipping company. In Valencia, Grimaldi has two companies: Valencia Terminal Europa and Grimaldi Logístico.
 
Each company has its own analog telephone exchange that had become obsolete and did not offer any of the advantages that IP telephony provides to businesses. In addition, although located in the same building, calls from one company to the other were external calls, which resulted in additional costs. Each switchboard also had its own maintenance contract.
 
“For us, integration of various facilities in Valencia into a single solution connecting the company’s centers in Barcelona and Madrid, as well as the headquarters in Naples, was an absolute necessity. We had a very significant service problem at the company,” says Julián Moreno, head of IT at Valencia Terminal Europa.
 
The IT team of Grimaldi Lines, in collaboration with Avaya’s partner NUNSYS, conducted an audit which analyzed costs, needs and suppliers. It was determined that the best solution for updating the entire telecommunications infrastructure of the Sagunto office, both in terms of voice and data, would be to install Avaya IP Office 500 V2 and the Avaya Ethernet Routing Switch PWR 3500 and 3800 series.
 
“Avaya IP Office provides us with service for more than 50 extensions that we have at the offices in Valencia. Additionally, via VPN, our employees in Sagunto can connect and benefit from the same features as the employees in Valencia,” says Bienvenido Lozano, head of IT at Grimaldilogística.
 

A High Quality Communications Solution

The flexibility, scalability and ease of management and implementation have also made it possible for the Madrid offices to begin to benefit from the new equipment. “In Madrid we have obsolete equipment similar to Valencia, with an old switchboard that is stretched to the limit,” said Lozano. “Until we make the change, Avaya IP Office from Valencia will enable us to incorporate new extensions and provide service for new users that would otherwise be impossible. Avaya enables us to respond immediately to the business needs of the company.”

 
“The cost savings have been very significant. With improved equipment from the start, having advanced solutions with high functionality at our disposal, we have already achieved monthly savings of between 15% and 20%. In addition, connection between the different offices in Valencia, and between these offices and Barcelona, Naples and Madrid, has led to call costs savings of more than 70%,” Mr. Lozano said. “The investment has paid off from day one.”
 
“In Valencia our employees are primarily focused on commercial activities. We wanted to give them the best tools available in the market, to make their work more efficient and easier, so we installed Avaya Flare, which makes management of contacts very convenient and helps them do their job,” Mr. Moreno explained.
 
Avaya Flare offers users easy access to all the communication channels of the company through an integrated interface on their computers, giving them a unified communications system. Grimaldi employees thus have all the features of the company offices in their homes, at the customer’s premises or anywhere else.

The implementation was very quick and easy. In a few days everything was operational, both voice and data. “Deadlines were met and company activity was barely affected,” Mr. Lozano said.
 
“The solution is robust, problem-free and I no longer worry day-to-day. It works,” Mr. Moreno stated. “Installing Avaya has given me back the time that was previously spent addressing the problems with the old equipment. It also allows us to move forward on many projects that were previously not feasible, due to the lack of technology that would allow us to handle them successfully, at a reasonable cost without sacrificing quality. And that means a significant competitive advantage for us.”
