Network and communications issues can be extremely detrimental to a business like this. With both data and voice communications becoming outdated and outgrown, it was time for Gas Liquids Engineering to upgrade.
 

Business Growth Brings Challenges

While healthy business growth is desirable, it brings a set of challenges. GLE’s expansion into a second building created challenges in both voice and data communications:
 
  • The legacy phone systems in each building didn’t work well together. Plus the lack of paging capabilities or transfer to voicemail made communications inefficient and frustrating for employees and customers alike.
  • A network cobbled together with a variety of gear created multiple single points of failure, no redundancy, bottlenecks in the network, and excruciatingly slow response times for various business-critical applications.
 

Something Had to Change

Network and communications issues were starting to impact the business. It was difficult to configure and manage, and needed more product expertise than GLE had in house. According to Steven Blecic, Senior Systems Support Analyst at GLE, “It was hard to keep the network stable, and it was very difficult to manage. We had basically outgrown our physical network.”
 
Another critical impact of network challenges was the effect they had on staff. GLE’s business relies on high value engineering talent who were very frustrated not only with the slow network speed, but with their inability to complete day-to-day tasks and projects as efficiently as they needed to meet obligations. Management knew that to keep top employees meant improving working conditions to allow them to excel at their jobs.
 

A New Approach

Early in the process, Blecic and his team witnessed an on-site demonstration of options available from Avaya. Ease-of-management was particularly important to the team, especially based on their experience and history with their old systems. “In the end,” Blecic says, “I decided the Avaya solution was better for our company, as it was very cost-effective. We decided to try something new based on assurance from the Avaya reseller that the solution would come in on time, under budget, with no hiccups or serious technological flaws.” He adds, “That’s exactly how it played out.”
 
After evaluating their options, GLE chose the Avaya solution to create a high availability, high performance network. For telephony, they replaced the old analog phone systems with Avaya IP Office and Avaya 9608G and 9611G IP Deskphones, along with the voice mail and paging they needed.  It’s the data networking where things got creative.

A Unique Approach to Data Networking

The challenge when working in multiple buildings is to avoid points of failure, ensure sufficient computing horsepower, and achieve effective data throughput, without breaking the bank. This is even more important when working with the large files associated with CAD systems.
 
To keep costs in line, GLE implemented two Avaya Virtual Services Platform 7000 Ethernet Switches, connecting to servers in the core. Each switch has a 10GB fiber link to an Avaya 4850GTS Ethernet Routing Switch in the closet on each floor in both buildings. Implemented as an active-active configuration, both 10GB fiber links are used to route traffic between the closets and the main server room. If one link is interrupted, traffic is simply routed over the remaining link with no disruption in service for users. This is in contrast to a more traditional active-passive configuration, in which a secondary link is in standby mode, ready to take over in case of primary link failure. This approach effectively provides 20GB of bandwidth from each network closet to the core servers; providing double the throughput, and dramatically improving reliability.
 
Usually, to provide active-active configurations, organizations must install large chassis-based core network solutions, which come with a high cost. Avaya is unique in that they can provide active-active technology on smaller form factor switches – and in the case of the VSP7000s, it’s their versatility as a “top of rack switch” (small, low-cost, easy to deploy and manage) with full core functionality that offered up this unique approach. The net result was that GLE saved significant capital acquisition cost plus real estate in their data center.
 
GLE was also able to take advantage of the existing Cat5e cabling from the closet to the desktop, maintaining the data network and transferring voice communications onto the IP network, which provided considerable savings. Technical support also played a part in the successful implementation. Blecic says, “We had very strict timelines – everything had to be up and ready over a weekend. Come Monday morning it had to be rock solid and bullet proof. But with the reseller’s team and Avaya’s technical support, we were ready. When we needed help, we were able to contact Avaya after hours and on weekends and get the support we needed to advance the project. Given that we must implement solutions outside of business hours, this was huge – having that service at our fingertips was a big benefit and allowed us to accomplish the project on time.”

A New Network with High Throughput, Easy Management

Voice communications are also easy to use and manage: GLE now has a single telephone system serving both buildings. Phones can be added or moved throughout the network with no issue, and users can log in to retrieve voice mail regardless of where they are. Additional features such as Mobile Twinning, Contacts/Directory and Conference capabilities have greatly enhanced their ability to collaborate with peers and customers.
 
When asked “what’s next?” Blecic replied, “Building on the success of our network, we are in the process of implementing a rollout of new wireless access points based on Avaya technology. Just like our voice and data network, our existing wireless network is old and decrepit, based on off-the-shelf access points. It worked for a while, but as more users came on board, it started to fail and the network became slow, cumbersome, unmanageable and required constant reboots. With our wireless network, we’re looking forward to the performance improvements we’ve seen with our Avaya IP Office platform.”
